Context:
The Document Controller is responsible for ensuring the management, control, and traceability of all project documentation, guaranteeing compliance with contractual, regulatory, and internal procedural requirements. Acts as the central point for organizing and distributing technical and administrative documents among internal teams and external stakeholders.
Missions/Main Duties:
Reports to the Project Director (Systra Portugal), responsible for local project development. Key responsibilities include:
* Managing the full lifecycle of project documentation (receipt, registration, distribution, review, archiving, and closure).
* Ensuring correct coding, versioning, and classification of documents according to project standards.
* Controlling approval workflows for technical documents (drawings, specifications, reports, submittals, RFIs, etc.).
* Maintaining up-to-date document management systems (EDMS), ensuring data integrity and information accessibility.
* Preparing and issuing periodic document control reports (status reports, overdue documents, tracking logs).
* Coordinating with engineering, construction, quality, and client teams to ensure documentary alignment.
* Ensuring compliance with contractual requirements and documentary audits.
* Supporting the implementation and continuous improvement of document management procedures.
* Ensuring control of official project correspondence (incoming and outgoing).
Profile/Skills:
**Requirements**
* Higher education degree in Engineering, Management, Archival Science, or a related field (preferred).
* Minimum 3 years’ experience in document control for large-scale engineering/construction projects.
* Familiarity with EDMS platforms (e.g., ACC, SharePoint, Documentum, ProjectWise, or equivalent).
* Experience in multidisciplinary and international environments (preferred).
* Knowledge of relevant ISO standards (e.g., ISO 9001\).
* Strong organizational skills, attention to detail, and ability to manage priorities.
* Good communication and teamwork abilities.
* Fluency in Portuguese (mandatory); Spanish/English are assets.
