Job Description
Job Title: Accountant and Administrative
Location: Óbidos – Leiria, Portugal
General Job Description:
This is a strategic role requiring a high level of commitment to support the business expansion in Portugal. The Accountant and Administrative professional will work closely with the management team to design and implement financial recording and accounting control processes, as well as structures ensuring accuracy of expenses, receipts, payments, taxes, and other legal obligations.
The professional must build solid, reliable, and flexible foundations capable of meeting both current and future business needs. Responsibilities include coordination with suppliers, contract negotiation, payment tracking and related documentation, as well as interaction with governmental and other official bodies. Knowledge in Real Estate and Hospitality will be considered an asset.
Key Responsibilities
Accounting:
– Up-to-date knowledge of Portuguese accounting;
– Daily management of operational accounting;
– Periodic inventory audits to prevent waste or misuse;
– Bookkeeping of invoices, payments, salaries, and legal obligations;
– Bank reconciliations;
– Coordination with banking institutions for various financial needs;
– Identification, evaluation, and management of suppliers, including analysis of contractual terms and safeguarding the company’s interests;
– Preparation of cost estimates, supplier negotiations where applicable, and critical analysis of rates, fees, and contracts;
– Administrative management of employee documentation, including employment contracts, benefits, and payroll processing;
– Management of personal and corporate accounts of partners and management;
– Preparation and submission of tax returns in coordination with management and external accounting and auditing entities;
– Continuous updating on accounting and tax legislation applicable to different business areas;
– Advisory support on cost-control measures;
– Coordination with international teams whenever necessary.
Administrative:
– Coordination of office and company activities with business partners, suppliers, internal teams, and governmental or municipal entities;
– Drafting and/or translation of professional correspondence in Portuguese and English;
– Creation and implementation of Standard Operating Procedures (SOPs) to ensure smooth daily operations, including official records, employee information, and supplier management;
– Support in administrative and secretarial tasks;
– Management of internal and external communications.
Profile and Competencies:
– Mandatory knowledge of Portuguese accounting;
– Proficiency in Portuguese and good conversational English skills;
– High capacity for learning and adapting to legislation, taxation, banking, and European regulations;
