Our team embodies our values daily, to surpass client expectations, evolve constantly and nurture genuine relationships for the long\-term. **Job requirements** As a Workflow Administrator, you will play a vital role within the GMP Workflow \& Coordination Team, ensuring that GMP projects are accurately captured, scheduled, and monitored through to completion. You will work closely with UK based project teams and external stakeholders, contributing to the smooth and efficient delivery of GMP project workflows. This position offers a great opportunity to develop your knowledge of UK pensions—particularly Guaranteed Minimum Pensions (GMPs)—while working in a dynamic, collaborative environment. You will receive full training and ongoing support to help you succeed and grow in the role. This role is a hybrid position, based in our Lisbon office with flexibility to work from home after a successful trial period. **What you will be doing:** * Managing the team mailbox promptly and professionally, ensuring requests are fully understood and accurately recorded. * Maintaining the GMP Project Tracker, ensuring all project data—scope, stakeholders, prerequisites, schedules, budgets—is up to date and correct. * Providing GMP Delivery Teams with timely and accurate project scheduling documentation. * Assigning tasks to GMP Delivery Teams through the workflow management system, where required. * Regularly reconciling the GMP Project Tracker with Delivery Teams’ trackers to ensure alignment. * Comparing schedules from Aptia and external stakeholders (including actuaries) and following up on discrepancies. * Supporting the production, distribution, and continual improvement of Workflow Team reports. * Coordinating and facilitating communication across teams and with a range of internal and external stakeholders. **What we are looking for:** * Competence in Microsoft Excel and confidence working with data. * A basic understanding of UK pensions, particularly GMPs (beneficial but training available). * Strong attention to detail and a methodical, organised approach to work. * Ability to work independently and proactively. * Excellent written and verbal communication skills in English. * Comfortable following structured processes and maintaining accurate records. * Ability to collaborate effectively within a team environment. **What you can expect:** * A workplace committed to Diversity, Equity \& Inclusion, recognising the strength that comes from a diverse and supportive environment. * Full access to high‑quality training, learning and development tools, and peer mentoring. * A flexible working environment that values work–life balance. * Competitive salary and benefits package. * Meal card. * Complimentary coffee and fresh fruit in the office. * A dynamic and collaborative team culture where new ideas and continuous improvement are encouraged. * The opportunity to be part of a growing community where you can develop your skills and grow your career. **How to apply** If you are interested in this role, then we’d love to hear from you.
