You will join the **HR Team in Lisbon** and play a key role in the company’s daily operations, at the heart of the employee experience. You will be responsible for HR administration, payroll, and labor law compliance for both offices, as well as supervising office management in Lisbon. To do so, you will report to Nelly (Head of HR) and manage Sarah (Lisbon Office Manager). **Your Responsibilities** ---------------- * **HR Administration:** + Handle or supervise administrative onboarding and offboarding: preparing contracts, creating employee files, and managing hiring or termination procedures for interns, apprentices, fixed-term and permanent employees, and freelancers across FR and PT offices. + Manage and administer changes occurring during employees’ careers. + Structure, communicate, and formalize People Ops processes. * **Payroll:** + Prepare and verify monthly payroll: monitoring payroll processes, collecting and entering variable payroll elements. You will work with Payfit for French payroll and with a local payroll firm for Portuguese payroll. + Track paid leave and social benefits in compliance with local regulations (health insurance, transportation allowances, and meal vouchers). * **Labor Law Compliance:** + Monitor employer legal obligations (internal regulations, apprenticeship tax, etc.) in France and Portugal. + Manage relationships and obligations with the CSE (Social and Economic Committee). + Lead projects such as implementing a teleworking charter, a days-based agreement, SST training, and first-aid training, etc. + Conduct ongoing legal monitoring. * **HR Data Centralization and Tracking:** + Centralize and organize HR-related data. + Ensure confidentiality and security of HR information in accordance with data protection standards. + Provide reliable HR metrics data via our HRIS systems (Hibob, Payfit). #### **Environment and Tools** * HR Ops Tools: **Hibob, Payfit, Swile, Coverflex, Yousign** * Internal Tools: **Notion, Slack, Google Suite, Excel** * Collaborate closely with Finance, the payroll firm, and Vroomly teams. You will be the primary contact for all admin and payroll-related questions from employees in Paris and Portugal! **Candidate Profile** -------------------- #### **You’re our ideal candidate if:** * You have **proven initial experience in People Ops** within an international environment, * You are **autonomous** regarding French payroll and HR administration, with solid understanding of **operational HR challenges**, * You possess **excellent interpersonal skills**, strong **written and verbal communication abilities** (interacting with internal teams and external stakeholders), and ideally some **initial management experience**, * You demonstrate **rigor, organization**, and strong analytical and synthesis skills, * You are comfortable with tools and data topics: **Excel** holds no secrets for you.
