**Clínica V.Vet na Praia da Vagueira** is expanding its team and looking for an **Administrative Assistant** focused on internal management, secretarial duties, and operational support.
We seek the "back-office engine" of our clinic: an organized individual with excellent internal communication skills who ensures that workflow between management and clinical teams operates with maximum efficiency.
**Main Responsibilities:**
* Manage calendars/schedules, appointments, and meetings for leadership or the team;
* Draft, review, and format documents, official letters, reports, minutes, and correspondence;
* Screen phone calls, messages, and e\-mails, forwarding them to the appropriate person;
* Serve as the communication hub among different work groups (assistants / nurses / veterinary doctors);
* Control and archive physical and digital documents, maintaining strict confidentiality of information;
* Prepare for and attend meetings, drafting agendas, minutes, and presentations;
* Assist in organizing corporate events, training sessions, and official receptions;
* Monitor deadlines, manage protocols, and administrative workflows of the clinic;
* Support procurement activities, stock and expiry date management, accounting, and human resources when required;
* Keep institutional registries, contacts, and databases up to date;
* Promote efficient communication across different organizational departments.
**What We Seek (Profile):**
* Education in Secretarial Studies, Administrative Advisory, Management, or equivalent professional experience.
* Excellent written and verbal communication skills, and strong interpersonal skills (essential for bridging teams).
* High degree of organization, accuracy, priority management, and deadline adherence.
* Proficiency in computer tools (Office suite, e\-mail management, and databases).
* Strong sense of responsibility and ethics.
* Dynamic, versatile profile with problem-solving capability.
* Affinity for and respect toward animals, as well as willingness to assist with other tasks during peak clinical periods.
* Driver’s license is an advantage
