Our goal is to provide them with simple, effective, and daily-adapted tools to help sustainably grow their business. **A profitable company, Vroomly is experiencing strong growth and accelerating its international expansion.** The company currently employs **120 people**, distributed across two complementary hubs: * **Paris**, where Product, Marketing, Procurement, and Supply Chain teams are based, * **Lisbon**, where Operations, Sales, and Care teams support garages daily in their development. **At Vroomly, you contribute to transforming a key mobility sector within a rapidly scaling company.** **Job Description** ----------------------- In line with our strong growth in Lisbon (70 employees today and 40 hires planned this year), we are seeking our next **HR Ops** professional to join our HR team, composed of Nelly (CPO); Marie (HR Manager); Sarah (Office Manager); Mélody, Joséphine, Violaine, and Kelly (TAS). You will join the **Lisbon HR Team** and play a key role in the company’s day-to-day operations, at the heart of the employee experience. You will be responsible for administrative management, payroll, and labor law compliance for both offices, as well as overseeing office management in Lisbon. To this end, you will report to Nelly (CHRO) and manage Sarah (Lisbon Office Manager). **Your Responsibilities** ---------------- * **HR Administration:** + Manage or supervise administrative processes for onboarding and offboarding: contract preparation, creation of employee files, and administrative procedures for interns, apprentices, fixed-term contracts (CDD), permanent contracts (CDI), and freelancers in both French and Portuguese offices. + Manage and administer changes occurring during employees’ careers. + Structure, communicate, and formalize People Ops processes. * **Payroll:** + Prepare and verify monthly payroll: monitor payroll processes, collect and enter variable payroll components. You will work with Payfit for French payroll and with a local payroll firm for Portuguese payroll. + Track paid leave and social benefits in accordance with local regulations (health insurance, transport allowances, meal vouchers). * **Labor Law Compliance:** + Monitor employer legal obligations (e.g., internal regulations, apprenticeship tax) in France and Portugal. + Manage relationships and obligations with the CSE (Social and Economic Committee). + Lead projects such as implementing a teleworking charter, a days-based annual working time agreement, SST (Safety, Health, and Working Conditions) training, and first-aid training. + Conduct ongoing legal monitoring. * **HR Data Centralization and Tracking:** + Centralize and organize HR-related data. + Ensure confidentiality and security of HR information in compliance with data protection standards. + Deliver reliable HR metrics using our HRIS platforms (Hibob, Payfit). #### **Environment and Tools** * HR Ops Tools: **Hibob, Payfit, Swile, Coverflex, Yousign** * Internal Tools: **Notion, Slack, Google Suite, Excel** * Collaborative work with Finance, the payroll firm, and Vroomly teams. You will be the primary point of contact for all administrative and payroll matters concerning employees in Paris and Portugal! **Ideal Candidate Profile** -------------------- #### **You’re our perfect match if:** * You have **proven initial experience in People Ops** within an international environment, * You are **autonomous** regarding French payroll and personnel administration, with solid **understanding of operational HR challenges**, * You possess **excellent interpersonal skills**, strong **written and verbal communication abilities** (interacting with internal teams and external stakeholders), and ideally some **initial management experience**, * You demonstrate **rigor, organization**, and strong analytical and synthesis skills, * You are comfortable with data tools and topics: **Excel** holds no secrets for you.
